Position : Office Administration Executive

Location : Bangalore, Karnataka

Reports To : Operations Head

Job Overview :

We are seeking a highly organized and detail-oriented Office Administrator to join our team. The Office Administrator will be responsible for ensuring the smooth day-to-day operations of the office. This role involves a variety of administrative and clerical tasks, including managing office supplies, coordinating meetings, maintaining records, and supporting staff with administrative needs. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to multitask in a fast-paced environment.

Responsibilities :

  • Oversee daily administrative operations and maintain a well-organized office
  • environment.

  • Maintain office supplies inventory and place orders as needed.
  • Coordinate meetings, appointments, and travel arrangements for staff.
  • Prepare and maintain administrative reports, records, and documentation.
  • Support HR and finance teams with documentation, filing, and data entry.
  • Liaise with vendors, service providers, and building management.
  • Assist in organizing company events, training sessions, and team activities.
  • Coordinate with domestic and international logistics teams for shipment tracking,
  • documentation, and customs clearance.

  • Assist in preparing reports related to trade performance, inventory, and logistics.
  • Ensure compliance with company policies and procedures.
  • Qualifications :

  • Bachelor's degree in business administration, International Trade, or related field.
  • 3+ years of experience in office administration, preferably in a trading or distribution
  • environment.

  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Experience with office management software (e.g., ERP systems). (Preferred)
  • Knowledge of basic accounting and HR procedures. (Preferred)
