GET TO KNOW YOUR AREA :

The Business Support role is responsible for providing comprehensive administrative and operational assistance to ensure the efficient functioning of the office and its teams. This position supports day-to-day activities, coordinates processes and information across functions, and contributes to the execution of projects and initiatives. By maintaining organization, anticipating needs, and facilitating effective communication, the role helps enable smooth business operations and supports overall team productivity.

YOUR MISSION WILL BE TO :

  • Provide day-to-day administrative support to teams and business functions, serve as a point of contact for general inquiries and help facilitate communication across teams.
  • Manage onsite office operations : mail, shipping, maintenance, safety, office supplies, equipment (coordinate with IT), visitors, office set up.
  • Coordinate internal meetings, appointments, and team activities, including invites and agenda, arranging logistics, room booking, catering, and materials preparation.
  • Support the organization of external meetings, events, workshops, and training sessions.
  • Assist with travel arrangements, book and coordinate business travel when needed.
  • Manage the invoicing process : set up vendors, create PR / PO, organize invoices and track vendor accounts, in close collaboration with Procurement and AP.
  • Establish and maintain relationships with internal and external stakeholders.
  • Provide communication support, prepare presentations, newsletters, and manage personnel announcements.
  • Coordinate personnel onboarding and offboarding processes, in partnership with HR, IT and line manager.
  • Provide support for project coordination and ad hoc initiatives as assigned.
  • Contribute to continuous improvement by identifying ways to optimize and streamline administrative processes and tools.
  • Collaborate with the Admin community, interface with other assistants to share and coordinate workload and ensure back up when needed.

  • Internal : Admin Assistants, managers, team members, and support functions.
  • External : vendors, service providers, visitors, guests.
  • ARE YOU READY FOR THE ROLE?

    Main requirements :

  • Degree in Business Administration, Office Management, or a related field.
  • Experience in an administrative, coordination, or office support role.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and familiarity with collaboration tools such as Teams or SharePoint.
  • Knowledge of D365 is an advantage.
  • Excellent written and verbal communication skills.
  • Fluent English.
  • Highly organized, with attention to details, able to manage multiple tasks and maintain order in daily operations.
  • Collaborative team-player, who works effectively with colleagues across functions and levels, supporting others and contributing to a positive and supportive environment.
  • High level of integrity and ability to handle confidential and sensitive information.
  • Fast learner, proactive, and open to learning, shows curiosity and a willingness to take on new tasks and develop skill.
