Job Title : Accounts Assistant

Department : Finance & Accounts

Reports To : Head of Finance

Job Summary :

The Accounts Assistant is responsible for supporting the Finance Department in maintaining

accurate financial records, managing daily accounting operations, and ensuring compliance with

organizational, legal, and regulatory requirements. This position plays a key role in financial

reporting, payroll processing, budgeting, and grant management within a dynamic IT firm

environment.

Key Responsibilities :

Financial Management & Accounting Support :

Maintain comprehensive and up-to-date accounting records.

Manage purchase and sales invoices and ensure timely processing.

Perform bank reconciliations and monitor cash flow.

Generate month-end and year-end financial reports.

Process payroll and handle Federal and State tax returns, including fringe benefits reports.

Manage vendor payments and issue checks.

Prepare financial documents for grant reporting and assist with grant applications.

Ensure organizational compliance with all legal, financial, and regulatory requirements.

Maintain appropriate insurance coverage for the organization.

Prepare annual budget forecasts and monthly budget reports for the Executive Director and

Board of Directors.

Assist with budget preparation, forecasting, and financial planning for IT projects and service

contracts.

Track and allocate project-related costs accurately.

Support internal and external audits by preparing required financial documentation.

Update and maintain accounting systems and financial databases.

Liaise with clients, vendors, and internal teams to resolve billing or payment issues.

Contribute to the improvement and automation of accounting and financial processes.

Skills and Qualifications :

Diploma or bachelor’s degree in accounting, Finance, or a related field.

1–2 years of experience in accounting or finance, preferably within an IT or service-oriented

organization.

Proficiency in accounting software (e.G., QuickBooks, Xero, Zoho Books, or Tally).

Strong working knowledge of Microsoft Excel and financial data analysis.

Understanding of payroll processing and statutory tax requirements (Federal and State).

Excellent attention to detail and accuracy.

Strong organizational and time management skills.

Good interpersonal and communication skills.

High level of integrity and confidentiality when handling financial information.
