Role Overview
We are seeking a highly organized and proactive Business Operations & Office Administrator to support the CEO and ensure smooth day-to-day operations across the organization and its portfolio companies. This role combines executive assistance, operational coordination, and cross-functional communication, requiring exceptional attention to detail, reliability, and a strong sense of ownership.
Key Responsibilities
1. Executive Support to the CEO
- Manage the CEO’s daily schedule, calendar, appointments, and meeting coordination.
- Arrange and manage domestic and international travel, including itineraries, bookings, and logistics.
- Support the CEO in preparing for key meetings and tracking action items
2. Portfolio Company Coordination
Schedule and organize financial and operational meetings with portfolio companies.Set up and manage monthly review meetings with each portfolio company.Track performance and progress of portfolio companies across key operational, financial, and strategic metrics.Maintain dashboards, reports, and follow-ups to ensure timely updates.3. Office & Operations Management
Manage bank payments, vendor payments, reimbursements, and related documentation.Track and report operational expenses;maintain accurate records for budgeting and audits.
Ensure smooth daily functioning of office activities and administrative processes.4. Cross-Functional Coordination
Liaise with finance, HR, operations, and portfolio company teams to ensure timely execution of tasks.Drive follow-ups, coordinate communications, and ensure closure of action items.5. Confidentiality & Professionalism
Handle sensitive information related to the CEO, business operations, and portfolio companies with strict confidentiality.Maintain a high level of professionalism in internal and external interactions.Qualifications & Skills
Bachelor’s degree in Business Administration, Commerce, or related field (preferred).5-10 years of experience in executive assistance, office administration, or operations roles.Strong organizational and multitasking abilities.Excellent written and verbal communication skills.High proficiency with MS Office / Google Workspace, scheduling tools, and basic financial tracking.Ability to work independently, handle pressure, and manage multiple priorities.Strong ownership mindset with attention to detail.Why Join Us?
