Role Summary

The HR function plays a critical role in making this a reality.
As the HR Coordinator, your role will include managing the entire recruitment process, coordinating our employee rewards and recognition program, running periodic employee engagement activities across all our offices, coordinating org-wide events with Co-Founders, monitoring employee welfare and wellbeing in collaboration with managers, managing the performance appraisal cycle, providing relevant admin support during L&D events, administering payroll and benefits per organizational guidelines, and ensuring a caring culture that complies with our organizational values and all relevant HR related compliances.
This will be an individual contributor role where you will be reporting directly to one of the Co-Founders at TEACH. The role will be based out of one of TEACH’s offices in Mumbai, Delhi or Pune, therefore we are looking for candidates who are already based out of one of the above cities. Please note that periodic travel to the various TEACH offices would be a requirement, as part of this role.
Responsibilities
Recruitment and Onboarding :
Managing the end-to-end recruitment process – including building job descriptions, sourcing through various channels (e.g. employee referrals, job boards, staffing agencies, social media, etc.), conducting preliminary interviews, coordinating final interviews, conducting relevant background screening checks, informing candidates on their results, and rolling out offer letters
Ensuring effective and structured onboarding of all new hires based on the organization’s onboarding toolkit, with 100% compliance
Ensuring probationary reviews are completed on time and confirmation letters are generated in a timely manner from the HR system
Sharing relevant compensation-related data insights (based on hiring activity and market analysis) with Co-Founders
Employee Engagement :
Coordinate org-wide employee communication and engagement events such as Annual offsite and periodic townhalls by planning with the Co-founders in advance, sending employee communications and arranging for slide decks, assisting with logistical arrangements for the events, etc.
Take lead on hosting periodic events for employees in partnership with Managers, using an Annual Employee Events calendar
Ensure smooth and efficient running of the periodic Employee rewards and recognition program org-wide, including sending nomination reminders to all employees, ensuring nominations get submitted on time, coordinating with jury panels on timely nominations review, assisting with procurement of awards within budget and timelines, and ensure 100% adherence to the Rewards and Recognition Policy
Performance Management System
Ensure smooth and efficient running of the Performance Management process including : ensuring all team members’ KRAs are finalized per agreed timelines, sending appraisal review reminders to all employees, ensuring all appraisal data and promotion nominations are submitted on time, coordinating with Co-Founders on review of appraisal scores and nominations, and ensuring timely generation of appraisal letters
Respond to FAQs from leaders and employees on performance management process, and offer timely support to them
Coordinate with managers and Co-Founders in case of Performance Improvement Plans (PIP) and log PIPs within the HR system; monitor timely PIP closures.
Employee Connect and Grievance Handling
Meeting with all employees periodically across all TEACH campuses to offer them a safe and caring space to discuss and receive feedback on what is going well, what can be better, their suggestions and ideas; and sharing suggestions and ideas received with the Co-Founders
Being available for group meetings as well as one-on-one meetings with employees and managers in-person or on VC or phone in case of grievances and issues
Coordinating the organization’s grievance handling process through timely and efficient investigation and resolution, participating as a neutral party during manager-employee meetings to offer support and help address grievances constructively, and maintaining Grievance Handling Records and documentation as part of the Grievance Redressal Process
Facilitating documentation of disciplinary action (e.g. Warning letters) and logging them into the HR system
HR Database and Compliance
Ensuring all employee data and updates are logged into the HR system in a timely manner
Ensuring statutory adherence to applicable labour laws, regulations, and industry standards to foster a fair, respectful and caring work environment for all employees
Running annual policy refresher sessions and compliance courses such as Prevention of Sexual harassment Act (PoSH), etc.
Employee Exit and Offboarding
Assisting managers and Co-Founders with timely retention discussions with employees in case of resignations
Ensuring 100% adherence to the organization’s Offboarding processes including capturing valuable information through exit interviews, and effective implementation of the offboarding checklist.
Education and Experience :
Bachelor’s degree or Master’s degree in any academic stream (an HR certification would be preferred)
1-2 years of relevant work experience in HR (especially recruitment and employee engagement activities)
Prior experience in the social sector would be an added advantage, although not mandatory
Knowledge, Skills and Competencies :
Good written and verbal communication skills in English and Hindi (spoken Marathi would be an added advantage)
Warm and friendly demeanor with excellent interpersonal skills, and ability to build meaningful trustworthy relationships
Self-driven with high levels of integrity and ability to maintain confidentiality
Good time management skills with the ability to multitask and meet agreed timelines
Ability to influence through dialogue, and persuade others to right course of action
Attention to detail and perseverance
High emotional maturity with the ability to resolve conflicts through mediation and objective analyses
Comfortable using Google Work Suite (Docs, Slides, Sheets, Google Drive) or willingness to learn
Ability to comply with agreed HR standards and processes
Tolerance for ambiguity and comfort with change management (as this role will play a vital role in implementing new HR processes, as needed)
