Factory Administration Manager

Minimum 8 to 15 Years as a Factory admin manager in any food processing companies.
Job Summary
The Factory Administration Manager will be responsible for managing all administrative, statutory, and facility-related functions of the food processing factory. The role ensures smooth operations, statutory compliance, pollution control, safety, hygiene, labour management, and coordination with internal and external stakeholders.
Key Responsibilities
1. General Factory Administration
Oversee daily administrative operations of the factory.
Manage housekeeping, security, canteen, transportation, and facility upkeep.
Ensure adequate supply of PPE, uniforms, office supplies, and consumables.
Oversee maintenance of buildings, utilities, and administrative infrastructure.
Supervise contract labour, third-party facility management teams, and service providers.
2. Statutory & Regulatory Compliance
Ensure compliance with all factory laws, labour laws, and food industry regulations.
Maintain statutory registers, licenses, agreements, and renewals.
Coordinate with authorities : Factory Inspectorate, Labour Department, Fire & Safety, Pollution Control Board, FSSAI, Municipality, etc.
Handle inspections, audits, documentation, and timely submission of returns.
3. Pollution Control & Environmental Management
Ensure full compliance with Pollution Control Board norms.
Monitor & manage
ETP, STP, waste disposal, air / water / noise parameters , and green norms.
Maintain documentation, statutory records, and environmental compliance reports.
Liaise with PCB authorities and consultants for inspections and renewals.
4. Safety, Hygiene & Food Compliance
Implement and monitor
GMP, GHP, HACCP
and food safety standards inside the factory.
Ensure hygiene protocols for production, utilities, and employee areas.
Support fire safety systems, drills, and emergency preparedness.
Maintain safety equipment, signage, and ensure incident reporting & corrective actions.
5. HR & Labour Administration
Coordinate attendance, leaves, time office activities, and contract labour management.
Ensure labour compliance, onboarding support, and employee welfare activities.
Help in grievance handling, discipline, and maintaining harmonious workplace relations.
6. Coordination & Reporting
Coordinate with Production, QA, Maintenance, HR, Purchase, and Finance teams.
Prepare MIS reports for administration, statutory compliance, pollution control, labour deployment, and facility management.
Monitor budgets related to admin, facility maintenance, and manpower.
Key Skills & Competencies
Strong knowledge of factory administration in food / FMCG manufacturing.
Excellent understanding of statutory compliance & pollution control norms.
Strong liaisoning skills with government authorities.
Good communication, leadership, and documentation skills.
Ability to manage multiple teams and vendors effectively.
Qualification
Graduate / Postgraduate in Administration / Management / Industrial Relations / Environmental Science.
Minimum
8 to 15 years experience
in factory administration, preferably in
food processing industry .
CTC : Maximum gross up to 9 LPA
